Property Sales Administrator

My client is seeking a highly organised and articulate Property Sales Administrator to support our busy and dynamic Sales Negotiators. Role Overview: The Sales Administrator is responsible for providing efficient & vital administrative support to the sales negotiators, ensuring smooth and effective operations while delivering excellent customer service. The administrator will prepare documents, schedule viewings, maintain sales records, and ensure compliance with legal requirements. They will also update marketing materials and assist with property listings.    

Key Responsibilities: 

  • Providing support to sales negotiators by preparing necessary documents, gathering property information, and scheduling viewings. 

  • Assisting in the preparation and updating of marketing details for online advertisements and brochures. 

  • Preparing, updating, and maintaining accurate sales-related documents, including reports, statistics, and Sales Advice Notes, and liaising with solicitors as necessary. 

  • Maintaining and updating price lists for new home schemes. 

  • Updating client and solicitor reports on a weekly basis. 

  • Updating Sales Tracker reports and liaising with sales negotiators as needed for updates. 

  • Updating software systems with property updates and viewing details. 

  • Liaising with the marketing team on property updates. 

  • Uploading new properties to the software system. 

  • Ensuring accurate and timely processing of sales documents and maintaining an organised document filing system. 

  • Assisting with creating and issuing mail merges via campaign manager for property launches and marketing campaigns. 

  • Verifying that all sales activities and documentation comply with legal requirements and company policies, ensuring AML and PSRA documents are obtained from all vendors. 

  • Drafting PSRA Agreements, solicitors’ letters, and other sales-related documents as necessary. 

  • Acting as the first point of contact for phone calls and email enquiries, ensuring prompt and professional responses in a timely manner providing optimum service levels. 

  • Filing, photocopying, and other ad hoc duties as required. 

  • Updating and maintaining property availability lists and collating them for distribution. 

  • Identifying and analysing opportunities for efficiency. 

 

Qualifications and Skills: 

  • Minimum 2 years' experience in a property sales administration role. 

  • Excellent verbal and written English is essential. 

  • Strong organisational and multitasking abilities 

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Reapit or similar CRM systems is an advantage. 

  • Attention to detail and ability to maintain accurate records. 

  • A proactive approach and the ability to work both independently and as part of a team.
