They are seeking an experienced administrator to join their Valuations and Advisory Team. The successful candidate will provide high-level administrative support to the team
The valuations team are a lovely dynamic and fast paced department and the role offers a wide variety of work for the successful candidate. The team is made up of 3 directors 5-6 surveyors and 2 administrators (including this position)
Responsibilities
Organising and maintaining diaries, expenses, and travel arrangements.
Organising meetings and ensuring surveyors have all necessary documentation in advance.
Screening phone calls, inquiries, and requests.
Researching information for valuation reports, rent review submission reports, and presentations.
Preparing presentations in Microsoft PowerPoint, tender documents, maps, photos, and other materials for reports.
Creating and managing Excel valuation worksheets.
Drafting and updating reports and letters for review.
Transcribing reports, letters, and emails as directed.
Providing general office administration support.
Opening and maintaining files in both hard and soft copy formats.
Updating and maintaining work lists, including current, completed, and future instructions.
Liaising with the accounts department to ensure accuracy in budgets, work lists, invoicing, and debtors.
Providing reception cover when required.
Coordinating large valuation projects, including:
Maintaining and monitoring project spreadsheets.
Acting as the point of contact for client instructions and queries.
Managing projects from receipt of instruction to delivery of the final report.
Formatting completed reports to agreed templates.
Responding to client queries promptly and professionally.
Reconciling fees.
