Building Operations Manager
My client a global brand is seeking a Building Manager on behalf of their client to oversee two prominent commercial buildings in Dublin’s city centre.
Both properties are modern Grade A office buildings, offering high-spec finishes, generous natural light, and strong transport connectivity, with close proximity to major train and bus routes, retail outlets, restaurants, and other city centre amenities.
The successful candidate will become part of an established team responsible for delivering high-quality building and facilities management services. They will be proactive, self-motivated, and capable of working independently, while also providing administrative support to the wider management team. The ideal candidate will have a solid understanding of service standards, key deliverables, and contractual obligations, with a strong focus on anticipating occupier needs and delivering a positive customer experience.
This role requires a highly visible presence on site and will serve as the first point of escalation for all occupants and visitors. Experience managing occupied buildings undergoing refurbishment or renovation is highly desirable.
Key Responsibilities & Tasks
1. Building Operations Management:
Oversee the daily operations of both commercial properties, ensuring they run smoothly and efficiently.
Manage and coordinate building works, refurbishments, and other projects, ensuring minimal disruption to occupiers.
Supervise all maintenance and repair activities, including HVAC, electrical, plumbing, cleaning, security, and landscaping.
Implement and uphold safety protocols, emergency procedures, and fire safety and security systems.
Manage building access systems and ensure the safety of all tenants and visitors.
Conduct regular building inspections and address operational issues promptly.
Manage all outsourced service providers, ensuring compliance with permits, RAMS, and safety standards in conjunction with the central FM team.
Support the client and key stakeholders in achieving ESG goals and sustainability targets.
Source and manage third-party contractors for all building services.
2. Budgeting and Financial Management:
Prepare and manage the annual budget, covering operational costs, maintenance, and capital expenditure.
Monitor and analyse financial performance, identifying opportunities to reduce costs and improve efficiency.
Review and approve invoices, ensuring accuracy and adherence to budget.
Provide stakeholders with regular financial updates and performance reports.
3. Occupier Engagement:
Serve as the main point of contact for tenants, maintaining strong, positive relationships.
Regularly engage with occupiers to understand their requirements and ensure satisfaction.
Address and resolve tenant concerns promptly and professionally.
Organise and lead occupier meetings to update them on building matters, operations, and improvements.
Collaborate with tenants on ESG initiatives and sustainability strategies aligned with building certifications.
Essential Knowledge, Skills & Experience:
Experience in building mobilisation, project management, and occupier fit-out is essential as both building will be going through a complete refurbishment.
Proven experience of managing a team.
Proven ability to engage multiple stakeholders during refurbishments in occupied buildings.
Minimum of 5 years’ experience in facilities or building management.
Proficiency with facilities management software (e.g., CAFM) and Microsoft Office Suite.
Solid understanding of ESG principles and their role in the built environment.
In-depth knowledge of building systems, health & safety codes, and regulations.
Strong financial acumen with experience in budget preparation and cost analysis.
Excellent communication skills, both verbal and written.
High level of Excel literacy.
