Are you an administrative superstar, or a people person with a passion for providing excellent service? Is being highly organised your thing?
My client is transforming the rental experience in Ireland and is looking to build on their success by hiring a Scheduling Administrator to join their growing team of professionals. With continued expansion underway, they are seeking reliable, enthusiastic, and outgoing individuals to join their services division based in Sandyford, Dublin 18.
Role Overview
There is no “ideal candidate” — my client believes that the best people can fit in anywhere. However, the following experience and qualities would be advantageous:
- Strong communication and interpersonal skills, as the business is highly customer focused.
- Knowledge of property management or financial software such as JobLogic, Yardi, or Rent Café.
- Previous administrative experience (in Ireland or abroad) and an interest in transitioning into this dynamic, fast-growing sector.
- A high level of organisation, openness to new ways of working, teamwork ethic, and a positive, energetic attitude.
- A willingness to contribute to a collaborative environment and make a meaningful difference to the team.
Key Responsibilities
The employee’s duties shall include, but are not limited to:
- Collaborating with Property Management, Leasing, Block Management, Resident Experience, and suppliers to schedule maintenance contracts, turnover works, general repairs, and servicing of equipment or vehicles.
- Reviewing check-out inspection reports, making deposit recommendations, and coordinating replacement furniture orders with suppliers.
- Liaising with Property Managers and residents regarding key handovers and maintenance access.
- Managing inbound service emails and responding promptly.
- Assigning and scheduling service team members for specific work orders and jobs.
- Ensuring the accurate and ongoing input of information into internal systems.
- Operating Property Management and Leasing platforms (e.g. Yardi Voyager, CRM, Rent Café, Vendor Café, Maintenance IQ).
- Monitoring supplier portals and forwarding invoices to the Finance team for processing.
- Producing monthly and quarterly reports, or as otherwise required by senior management.
- Providing general administrative support to the wider Services team as needed.
- Promoting the brand and culture of my client’s Services division.
- Building and maintaining strong working relationships with internal teams, residents, and external contractors.
- Delivering exceptional communication and customer service at all times.
