My client, a leading global brand in the real estate and property services sector, is seeking a dynamic and highly organised Facilities & Maintenance Administrator to join a fast-paced, professional team based on site at the prestigious development Dublin 8.

This is a pivotal role offering a unique opportunity to support both the Facilities Manager and the Maintenance Team, ensuring the smooth and efficient running of daily operations across a landmark residential development.

You will be at the heart of delivering a premium customer experience while coordinating the administrative and operational functions that keep this high-performing team running at its best.

Key Responsibilities

Facilities Support

  • Monitor and manage daily calls and emails, logging and responding promptly to requests

  • Prioritise and track service requests, ensuring complete and accurate information

  • Gather client feedback, escalating concerns where necessary

  • Manage digital and physical documentation with attention to detail

  • Review daily check sheets, log corrective actions, and ensure task completion

  • Assist in the coordination of Planned Preventative Maintenance (PPM) schedules

  • Support the Facilities Manager with reports, audits, and system updates

  • Coordinate contractor activity on site, ensuring all works are completed to standard

  • Conduct contractor inductions, issue permits to work, and manage RAMS documentation

  • Assist with internal event coordination and support small projects as needed

Maintenance Support

  • Log, schedule, and monitor all incoming maintenance requests

  • Track contractor progress and ensure timely work completion

  • Support maintenance-related project administration and delivery

  • Manage key control systems and ensure robust processes are followed

  • Provide support to senior Property Management professionals

  • Complete a wide range of general and ad hoc administrative duties

Lettings & Administrative Support

  • Produce leases, inventories, and other tenancy-related documentation

  • Refresh and manage online property listings

  • Upload and maintain records on the Yardi system

  • Conduct regular audits of administrative data and files

  • Respond promptly and professionally to tenant queries across all channels

  • Coordinate tenant check-ins, check-outs, and viewings

  • Liaise with the on-site concierge team and manage amenity bookings

  • Track maintenance follow-ups and manage internal filing systems

What We’re Looking For

  • Proven experience in an administration or helpdesk role (facilities or property sector preferred)

  • Proficient in Microsoft Office; experience with Building Link and Yardi is a plus

  • Exceptionally organised with a keen eye for detail

  • Strong multitasking skills and the ability to manage a variety of tasks concurrently

  • Professional and articulate communicator – both written and verbal

  • Customer-centric approach with excellent interpersonal skills

  • Confident working independently and using own initiative

  • Positive, proactive team player with a flexible, solution-focused mindset
