My client is changing the shape of renting in Ireland and is building on the success achieved to date by hiring a Scheduling Administrator into their existing team of superstars. The company is continuing the rapid expansion of its team and is seeking reliable, enthusiastic, outgoing personalities to become part of the Services division based in Sandyford, Dublin 18.

Role Overview

  • An understanding and knowledge of property management financial software such as JobLogic, Yardi, or Rent Café.

  • Experience in administration (in Ireland or abroad) and an interest in making a move into this fast-growing sector. PRS is what this company does — and it’s all they do.

Key Duties and Responsibilities

The Scheduling Administrator’s key duties shall include (but are not limited to):

  • Working with Property Management, Leasing, Block Management, Resident Experience, and suppliers to assist in scheduling maintenance contracts, turnover works, general maintenance repairs, and machine/vehicle servicing.

  • Reviewing check-out inspection reports, making deposit recommendations to Property Management teams, and ordering replacement furniture from suppliers.

  • Liaising with Property Managers and residents regarding key handovers and maintenance access.

  • Operating and monitoring inbound service emails and responding in a timely manner.

  • Assigning and scheduling service team members for division-specific work orders and jobs.

  • Ensuring accurate and ongoing input of information into the company’s systems.

  • Operating Property Management and Leasing systems (e.g. Yardi Voyager, CRM, Rent Café, Vendor Café, Maintenance IQ).

  • Monitoring supplier portals and forwarding invoices to the Finance team for payment.

  • Producing monthly and quarterly reports (or as required) for senior management.

  • Providing general administrative support for the wider Services team.

  • Promoting the company’s brand and culture across the Services division.

  • Building strong working relationships with all internal teams who request works from the Services division.

  • Providing exceptional service, communication, and support to customers and residents.

  • Creating and nurturing relationships with suppliers and contractors.
