Salary: €65,000 + Annual Discretionary Bonus

Our client is a leading Irish-owned construction project management consultancy with an established international presence. With over 20 years of experience delivering complex, high-profile projects across a range of sectors, the company has earned a reputation for quality, innovation, and building long-term trusted client relationships.

Due to continued growth, they are seeking an experienced, highly organised, and proactive Personal Assistant to provide dedicated support to the Managing Director and help ensure the smooth day-to-day operations of the business.

This is a partially hybrid role, with 1–2 days per week based in the South Dublin office and the remainder split between remote working and supporting the Managing Director while travelling to various locations.

As the role involves regular travel, a full, clean driving licence and access to your own car are essential.

Working Hours: Monday to Friday

Due to the nature of the role, occasional flexibility outside normal business hours may be required.

The Opportunity

This is an excellent opportunity for an experienced Personal Assistant who enjoys working in a fast-paced, varied environment where no two days are the same.

Working closely with the Managing Director, you will be responsible for managing a busy and ever-changing schedule, coordinating travel and meetings, overseeing day-to-day activities, and acting as a trusted point of contact for both internal and external stakeholders.

You will be entrusted with highly confidential information, making discretion, professionalism, and sound judgement essential.

This is a standalone role requiring someone who is confident working independently, takes ownership of their responsibilities, and is always one step ahead.

Key Responsibilities

• Provide comprehensive personal and administrative support to the Managing Director.

• Proactively manage a complex and frequently changing diary, coordinating meetings, appointments, and schedule adjustments.

• Arrange domestic and international travel, accommodation, transport, and detailed itineraries.

• Screen and prioritise emails, telephone calls, and correspondence, ensuring urgent matters are addressed promptly.

• Coordinate internal meetings, client meetings, and occasional company events.

• Welcome visitors and ensure a professional front-of-house experience.

• Assist with the smooth day-to-day running of the office, maintaining an efficient and well-organised working environment.

• Order office supplies and oversee general office facilities.

• Provide administrative support to the wider team as required.

• Build strong working relationships with clients, suppliers, and colleagues while acting as a trusted representative of the Managing Director.

Requirements

Essential

• Minimum 3–5 years' experience in a Personal Assistant, Executive Assistant, Senior Administrator, Office Manager, or similar senior support role.

• Exceptional organisational and time management skills with the ability to manage multiple competing priorities.

• Excellent written and verbal communication skills.

• Advanced proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

• Professional, approachable, and confident when dealing with clients, suppliers, and colleagues at all levels.

• High level of discretion with the ability to handle confidential and commercially sensitive information.

• Strong attention to detail, with a proactive, adaptable, and solutions-focused approach.

• Ability to work independently with minimal supervision while anticipating the needs of a busy Managing Director.

• Full, clean driving licence and access to your own vehicle.

Please note: This is a standalone Personal Assistant position. You will provide dedicated one-to-one support to the Managing Director and should be comfortable working independently rather than as part of a wider PA or administrative team. Given the nature of this role, you will also be required to oversee personal tasks for the Managing Director.

• Previous experience within the construction, engineering, property, architecture, or professional services sectors.

• Experience supporting a business owner, Managing Director, or senior executive within a fast-paced commercial environment.
